Accounts Payable Clerk – Expense Report Specialist

Essential Duties and Responsibilities

1.         Processes all expense reports received from attorneys and staff.  Ensures that all reimbursements are in accordance with the firm’s policies. Requests additional information as needed.

2.         Enters fully-reviewed expense reports into the Accounting system. Posts expense report vouchers after reimbursements are made in partners draws and employee payrolls.

3.         Works with attorneys, paralegals and staff to ensure that all expenses are approved appropriately and supported with sufficient documentation.

4.         Responds to inquiries from attorneys and staff regarding status of expense reports and explanations of adjustments.

5.         Assist other Accounts Payable staff with processing and keying vendor invoices, processing check runs, and filing vendor payment backup documentation when needed.

6.         Assists others within the department (accounts receivable, billing and collections) when needed.

7.       In addition to the above, assists with special projects and other duties as assigned.

 

Knowledge, Skills and Abilities

 

Education and/or Experience

High school diploma or equivalent required, bachelor’s degree preferred. 

Two years prior experience preferred.

Knowledge and or experience in legal industry a plus.

 

Technical Skills

Knowledge of Microsoft Excel and Word required. 

Experience with Outlook, and Microsoft products required, experience with Elite 3E a plus.

Typing speed of 40 wpm and ability to do data entry for extensive periods of time.

Ability to file alphabetically and numerically.

Ability to multi-task and prioritize assignments in order to meet deadlines.

Ability to operate office equipment including computers, photocopy and scanning machines and fax equipment.

 

 

Work Environment and Physical Requirements

Physical requirements include:

Ability to sit, stand, stoop and reach for up to eight or more hours per day.

Repetitive motions:  substantial movements (motions) of the wrists, hands and/or fingers.

Infrequent lifting/moving of files or boxes weighing up to 45 lbs.

Occasionally required to bend, crouch or kneel.

 
Compensation & Benefits
 
 The pay range for this role is $45,000 to $55,000 depending on experience. Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.
